You issue a recurring service, the same amount every month to the same clients, and yet each invoice requires you to open your accounting software, fill in the details, attach it to an email, and send it manually. Multiply that by fifteen clients and you have lost an afternoon every month on work that should not require a human at all. That is why I built the Recurring Invoicing automation.

The automation connects to your FacturaScripts installation via its API. You define a subscription in your account dashboard: client name, invoice amount, billing cycle, and the day of the month you want the invoice generated. From that point forward, the automation generates the invoice in FacturaScripts on the configured date, attaches it to a professional email, and sends it directly to your client. You do not touch it unless something changes.

I chose FacturaScripts as the accounting backend deliberately. It is open source, it runs on your own server, and it does not charge per-invoice fees the way some hosted platforms do. If you are already using FacturaScripts, the integration drops in without requiring you to change any of your existing workflows. If you are not using it yet, the Pro plan documentation walks through the setup in about twenty minutes.

The Starter plan covers up to ten active subscriptions. For a freelancer or small agency billing a fixed roster of monthly retainer clients, ten is often exactly the right number. The invoices use a clean, professional template that includes your business name, your client details, the line item description, the subtotal, and the applicable tax rate. You configure those fields once in your account area and they persist across every invoice that goes out.

The Pro plan removes the subscription cap entirely. Whether you have eleven recurring clients or one hundred and eleven, the automation handles the full queue on the same infrastructure. The Pro plan also lets you connect your own FacturaScripts installation directly. This matters for two reasons: your invoice numbering stays in sync with the rest of your accounting records, and your business data never passes through a shared environment. Everything stays on your server.

There is a practical point about timing that I want to address directly. The automation generates invoices on the calendar day you specify, but if that day falls on a weekend or a public holiday, it carries forward to the next business day. You can override this per subscription if you prefer strict calendar-date behaviour, but the default is to avoid sending invoices on days when clients are unlikely to process them.

Both plans include a failed-send alert. If the email to a client bounces or the FacturaScripts API returns an error during generation, you receive a notification within the hour so you can investigate before the invoice is overdue. I added this because an automation that silently fails is worse than no automation at all.

The account dashboard shows you a log of every invoice sent, with the date, the client, the amount, and the delivery status. You can download any invoice PDF from the log for your own records or to resend manually if a client asks. The log is retained for twelve months.

Setting up the Starter plan takes about fifteen minutes. You log in, add your first subscription, fill in the client details, the amount, the tax rate, and the billing date, and save. The first invoice queues automatically for the date you specified. You can add, pause, or remove subscriptions at any time from the same interface.

The reason recurring billing deserves its own automation rather than a manual reminder on your calendar is reliability. Calendars get missed, email drafts get delayed, and clients sometimes chase you for invoices you forgot to send. When the automation runs, the invoice goes out on the right day to the right client with the right amount, every single time.

At 29 euros per month for the Starter plan and 49 euros for Pro, this is priced as a working tool, not a platform. You pay for the automation to run. That is the whole arrangement.

Sending invoices is one of those tasks that does not look like much until you sit down and count the hours.
